1. Controller and contact
ImmoJinn, Switzerland, is the controller for personal data processed for this website, customer accounts and its own business operations. For privacy questions or requests, email hello@immojinn.ch. When we process tenant or portfolio data solely on a landlord's instructions, that landlord is generally the controller and ImmoJinn acts as processor.
2. Data we process
- Account and business details, including name, email address, password hash, organisation and service correspondence.
- Property-management data, including properties, units, leases, rent payments, expenses, documents, maintenance cases and tradesperson details.
- Tenant communication data, including names, contact details, email content, online reports, call recordings or transcripts where enabled, and drafted or approved replies.
- Technical and security data, such as IP address, device/browser information, timestamps, authentication events and diagnostic logs.
- Billing and contract records required to provide the service and meet legal obligations.
3. Purposes and legal grounds
We process data to provide and secure the platform; perform contracts and managed services; authenticate users; receive and respond to tenant communications; collect rent and coordinate maintenance when instructed; provide customer support; invoice customers; prevent abuse; comply with Swiss legal duties; and improve service reliability. Depending on the context, processing is necessary to perform a contract, comply with law, protect legitimate interests, or is based on consent.
4. AI-supported processing
Incoming tenant emails, reports and call transcripts may be submitted to AI services to classify the request, summarise it, log an issue, draft a reply or suggest an action. These outputs support human decision-making; the product is designed for owner approval before a reply or operational action is taken. Customers should not enter data that is unnecessary for property management.
5. Service providers and recipients
We disclose data only where needed to operate the service or follow an authorised instruction. Categories of recipients include cloud hosting and database providers, document storage, authentication and security providers, AI processing providers, voice/call transcription provider Voinami, and communications providers such as Resend and Twilio when those channels are enabled.
For managed services, relevant data may also be shared with the customer's tenants, tradespeople, professional advisers and payment or collection partners as required for the approved task. Providers are contractually restricted to the agreed processing.
6. International transfers
Some providers may process data outside Switzerland. Where the destination does not provide an adequate level of protection, we use recognised safeguards such as contractual clauses, together with supplementary measures where appropriate, or rely on another lawful exception.
7. Retention
We retain personal data only as long as needed for the purposes above, the customer relationship and applicable legal retention or limitation periods. Account and portfolio data is normally kept for the contract term and an appropriate export or deletion period afterward. Financial and contractual records may be retained for ten years where Swiss law requires it. Backups and security logs are deleted on their applicable rotation schedules.
8. Security
We apply appropriate technical and organisational safeguards, including access controls, hashed passwords, encrypted transport, data segregation and restricted provider access. No internet service is completely risk-free; customers must also protect credentials and manage their authorised users.
9. Cookies and local storage
We use technically necessary authentication mechanisms for signed-in sessions. The public landing page stores the visitor's selected language in browser local storage. We do not currently use advertising cookies or third-party behavioural advertising on the public website.
10. Your rights
Subject to applicable Swiss data-protection law, individuals may request information about their data and ask for correction, deletion, restriction, portability where applicable, or objection to certain processing. Consent can be withdrawn for future processing. Tenant requests concerning landlord-controlled portfolio data should normally be directed to the relevant landlord; we will support the landlord as required. You may also contact the Swiss Federal Data Protection and Information Commissioner.
11. Updates
We may update this notice when our services or legal requirements change. The current version and effective date are published on this page. Material changes will be communicated through an appropriate channel.
